JOB SUMMARY
The Document Management Program Manager is charged with working with all departments to determine how business information and documents are handled within the organization’s document management and information systems.
The person occupying this role has responsibility for the following:
- Oversees the smooth operation of the document management system;
- Facilitates implementation of policies and procedures regarding document creation, storage, sharing, transmission, and destruction;
- Manages required work needed with any of the document management system’s service providers; and,
- Recommends and manages system changes/projects that enhance useability based upon business strategy, and operation requirements using defined prioritization process.
- Drive adoption and compliance with enhanced user experience, the ability for users to collaborate, the quality of the information stored, and leveraging the value and usefulness of the information available.
JOB KNOWLEDGE
The knowledge required to be the Document Management Program Manager includes:
· Program & Project Management – Able to lead other business leaders and subject matter experts to identify opportunities to join business information and documents, assess process improvement opportunities and prioritize work. The role will evaluate existing document management systems and procedures to determine current effectiveness and efficiency; identify and recommend improvements.
· Information Governance – As a member of the IT/Information Governance Team, the role works with the business leaders and subject matter experts to define data standards that will be used across the entire business. The role ensures all work meets the IT/Information Governance and Compliance Requirements as well as the Governance Team’s approval processes and standards.
· Procedural & Functional Knowledge – Can work with all business teams to design and document process flows, information models, and reports within an enterprise document (or content) management system. Must possess knowledge of the document management system’s core functionality and how they can be leveraged to automate and support business processes.
· User Community Engagement – The role’s occupant should have the people skills needed to work with a wide variety of users and service providers within or external to the company. The occupant must be able to analyze and anticipate the impacts of changes to users, evaluate the need for training that develops required user work habits, and review issues that could lead to system improvements. This includes working with the IT Support Team to develop appropriate support procedures that manage the system and help users with technical issues.
· Vendor Management – An ability to successfully work with external vendors who provide services that support the maintenance of the core document management and collaboration systems.
· System Administrative Capabilities – Possess an understanding of the various systems administration, security, and settings.
REQUIRED EDUCATION & EXPERIENCE/SKILLS
Education: The Document Management Program Manager requires a bachelor’s degree in information technology, computer science, library science or a related field.
Experience: The following lists the experience expected:
· Sharepoint Knowledge – Detailed understanding of Sharepoint capabilities and functionality
· General Document and/or Records Management Functional Knowledge – Experience providing support to users who are creating, updating, storing, collaborating, and/or searching for documents. This includes work with IT/Information Governance Teams and Records Management.
· Process Design – Experience working with business teams to document and design process flows, information models, and reports using an enterprise document or content management system.
· Project Management – Experience managing document management projects and implementing change.
· Vendor Management – Has successfully managed vendor relationships.
· System Administration – Experience with System Administration teams who can ensure overall system stability and security.
· Organizational Change Management – Exposure to teams who prepare and execute change management programs.
· General IT Processes – Experience and appreciation for core IT processes including Software Change Management, Support Ticketing, and Patch Management.
