Customs Documentation and Accounts Payables Specialist
Seeking a highly organized and detail-oriented individual for the role of Customs Documentation and Accounts Payables Specialist. This role focuses on customers’ documents and related accounts payable. This key team member will be responsible for reviewing customs/import documents to ensure accuracy and, subsequently, processing the invoices.
Required: A strong background in supply chain management, proficient in ERP systems, strong excel, accounts payable and an in-depth understanding of import protocols and operations.
Cross customs rulings, ability to negotiate freight rates, and manage US Customs documentation and vendor payments.
This is a full-time exempt position, requiring a minimum of 4 days on site in office, subject to change at managements discretion.
Hours 9am-5pm Monday- Friday.
Responsibilities:
- Manage end to end import process including customs clearance, documentations, and factory payments.
- Prepare and review import documentation such as commercial invoices, packing lists, BOL and import licenses.
- Coordinate with Freight forwarders, shipping agents and customs brokers to arrange smooth and timeline customs clearance.
- Review and reconcile vendor statements, resolving discrepancies or issues in a timely manner.
- Ensure compliance with company policies and procedures.
- Develop and maintain relationships with vendors, addressing any payments or invoice inquiries promptly and professionally.
- Collaborate with cross-functional teams, such as imports and A/P, to streamline processes and improve efficiencies.
- Prepare and present regular reports on vendor performances, including key metrics and trends.
- Support Director of Operations and CEO in related areas.
Requirements:
- Bachelor’s degree in Supply Chain Management or related field
- Minimum 5 years’ experience in manufacturing, supply chain or related field
- Proficient in ERP and current software (examples include Acumatica, QuickBase and Excel)
- Familiar with Incoterms® and freight forwarding processes.
- Strong organizational and time management skills
- Knowledge of C-TPAT is a plus.
- A strong background in supply chain management, accounts payable and an in-depth understanding of import protocols and operations
